Getting started.

What is KeeSync?

KeeSync is a desktop app that keeps your KeePass databases (.kdbx files) in sync between your computers. You keep using KeePass as usual – every saved change is uploaded to the KeeSync server and downloaded on your other computers.

The server also keeps previous versions of your files, so an unwanted change can be undone.

Which systems are supported?

The KeeSync app runs on Windows, macOS and Linux. Get it on the download page.

KeeSync is a desktop app only. On a phone or tablet you can open the same file with a KeePass app that supports WebDAV – see KeeSync on a phone.

Creating an account

This is a private KeeSync instance – registration is disabled and accounts are created by the administrator. Once you get your credentials, log in on the Log in tab of the app.

Logging in

  1. Open the Log in tab in the app’s navigation menu.
  2. Enter your e-mail or username and your password.
  3. Click Log in.

With two-step verification enabled, enter the code from your authenticator app or e-mail – or one of your recovery codes.

Logging out

  1. Click your avatar in the top right corner of the window.
  2. Choose Log out.

Theme, language and other settings

Open Settings in the app’s navigation menu:

  • Appearance – theme, font and language. When you are logged in, they are saved to your account, so all your computers look the same.
  • Startup – start the app with the system, optionally hidden in the tray.
  • Window and tray – hide the app in the tray instead of quitting when the window is closed or minimized. Files are synchronized only while the app is running.
  • Privacy – send crash reports to help fix problems.
  • Server – use your own KeeSync server, see self-hosting.

Files & sync.

Adding a database

NoteSynchronization requires logging in.

  1. Open the Databases tab in the app’s navigation menu.
  2. Click Add database.
  3. Select the KeePass database file (*.kdbx) you want to synchronize.
  4. The file appears on the list and is uploaded to the server automatically.

How does synchronization work?

While the app is running (also hidden in the tray), every change saved to a database is uploaded automatically and newer versions from other computers are downloaded to disk.

The tray icon shows the state: green – everything synchronized, orange – some files are not synchronized, red – offline.

Your database stays encrypted by KeePass the whole time – KeeSync moves the file, it never opens it.

A file changed in two places – what now?

If a file was changed on this computer and on the server at the same time, KeeSync does not guess. A Synchronize button appears next to the file.

  1. Click Synchronize next to the file.
  2. Compare both versions – size, last change and checksum on the server and on this device.
  3. Choose Upload to server or Download from server and confirm with Synchronize.

Need changes from both? Keep one version, download the other from the version history and merge them in KeePass (File → Synchronize).

Removing a file from the server

NoteThe file is removed from the server only – the copy on your disk stays untouched.

  1. Open the Databases tab in the app’s navigation menu.
  2. Click the delete icon next to the file.
  3. Confirm removal.

Backups.

Which backups does KeeSync keep?

The server keeps previous versions of every synchronized file:

  • On change – before every update, overwrite or deletion of the file.
  • Daily, weekly and monthly – regular copies.
  • Before restore – the current version, saved every time you restore an older one.

How many versions of each type are kept depends on your plan. You can see your plan on your account page.

Restoring an older version

  1. Open the Databases tab in the app’s navigation menu.
  2. Click Version history next to the file.
  3. Pick a version and click Restore this version.
  4. Confirm.

The current version on the server is replaced, but the server keeps a copy of it. On your computer the current file is saved next to it with the .bak extension – including changes that were not synchronized yet.

Downloading a backup

A backup is a regular KeePass database – it opens with the master password the file had at that time. You can download it in two ways:

  • In the app: Version history next to the file → Download this version.
  • On the website: log in, open your account page, expand the backups of a file and click a version.

Security.

Is my data safe?

  • Your database is encrypted by KeePass before it leaves your computer. KeeSync stores and moves only the encrypted file.
  • The server never receives your master password, so it cannot open your database.
  • All connections use HTTPS.
  • Your KeeSync account can be protected with two-step verification, and you get an e-mail about every security change.

Use a strong master password for KeePass and a different password for your KeeSync account.

Two-step verification

With two-step verification, logging in needs a code in addition to your password. Use an authenticator app (Google Authenticator, Microsoft Authenticator, Aegis, 2FAS, KeePassXC…), codes sent by e-mail, or both.

  1. In the app, click your avatar and choose Account and security – or open your account page on the website.
  2. Under Two-step verification, click Enable next to the method you want.
  3. Authenticator app: scan the QR code and enter the 6-digit code. E-mail: enter the code we sent you.
  4. Save the recovery codes shown at the end.

When you enable the first method, your other devices are logged out.

Recovery codes

Together with two-step verification you get 10 recovery codes. Use one to log in when you lose access to your phone or e-mail – each code works only once.

Keep them in a safe place, not only in your KeePass database. They are shown only once – if you lose them or run out, generate new ones in Account and security (the previous codes stop working).

I forgot my password

  1. In the app, click Forgot password? below the login form – or use the password reset page on the website.
  2. Enter your e-mail or username. If the account exists, we send a code (in the app) or a link (on the website) to its e-mail address.
  3. Set a new password.

If you use an authenticator app, you also need a code from it – or one of your recovery codes. After the change your other devices are logged out.

This resets the password of your KeeSync account only. The master password of your KeePass database never reaches KeeSync, so nobody can recover it for you.

Changing your password

In the app open Account and security (click your avatar), or use your account page on the website. Changing the password logs out your other devices; app passwords keep working.

Phones & WebDAV.

Can I use KeeSync on my phone?

The KeeSync app is for desktop computers. On a phone or tablet, open the same file straight from the server over WebDAV with a KeePass app, for example KeePassDX (Android) or Strongbox (iOS).

Changes saved on the phone go to the server and the KeeSync app downloads them on your computers – the file stays the same everywhere.

Connecting a KeePass app over WebDAV

  1. Create an app password.
  2. In your KeePass app, choose to open a database from WebDAV.
  3. Enter the address https://keesync.com/storage/, your KeeSync e-mail or username and the app password.
  4. Pick your .kdbx file. Some apps need the full file address, e.g. https://keesync.com/storage/Passwords.kdbx.

App passwords

An app password lets a WebDAV app reach your files without your account password. Give each app its own and revoke it whenever you want.

With two-step verification enabled, WebDAV accepts only app passwords. Without it your account password works too, but an app password is the safer choice.

  1. Open App passwords on the website – or Account and security → App passwords in the app.
  2. Click Create app password and give it a name, e.g. the name of your phone.
  3. Copy the password – it is shown only once.

Account.

Deleting my account and data

You can delete your account yourself on the website – immediately and permanently. Together with the account we remove:

  • all your databases stored on the server and all their backups,
  • records of your files and the log of file operations,
  • logins of all your devices, app passwords and two-step verification settings,
  • your account, its settings and e-mail address.
  1. Log in on the website and open Security → Delete account.
  2. Type the e-mail address of your account and your password.
  3. With two-step verification enabled, also enter a code from your authenticator app, an e-mail code or a recovery code.
  4. Click Delete my account permanently. You will be logged out and receive a confirmation e-mail.

Deleted data cannot be restored – download the backups you want to keep first. KeePass databases on your computers are not touched, the KeeSync app just stops syncing them.

Can I run my own KeeSync server?

Yes. Log out, open Settings → Server in the app, choose Custom server, enter its address (e.g. https://keesync.example.com) and click Check and save.

The server needs HTTPS with a valid certificate – plain http:// is accepted only in a local network.
